Terms and Conditions

The services provided by J.A.D.E. – Jai’s Academy for Dental Education Inc. are subject to these general terms and conditions. J.A.D.E. – Jai’s Academy for Dental Education Inc.reserves the right to modify, update, or amend these terms at any time, without prior notice. Any modification, additions, or deletions shall be effective immediately without notice thereof.

1. Course Fees

The student shall pay the course fee to J.A.D.E. – Jai’s Academy for Dental Education Inc. upon signing up for the course. The course fees are non-refundable and non-transferable to another student. The course provider can update the course fees as and when necessary. Any student signing up for the course is financially committed to pay the entire amount of the course. To opt for the payment plan, the student must sign the prepayment plan agreement at the time of registration. If the course is canceled by J.A.D.E. – Jai’s Academy for Dental Education Inc., the student will be offered a replacement course or a prorated refund. For clinical courses – access to the Laboratory for practice sessions, as designated by the course, and/or course instructor for the duration of the registered course(s).

2. Course Related Policies

Enrollment is valid for only one course cycle, unless otherwise stated. 

To grant access to the subsequent cycles of courses with extended validity, we reserve the right to request screenshots to verify that the student has not completed any particular exam. Failure to provide these images may result in denial of access to future cycles. JADE reserves the right to terminate a student’s access to future courses if they violate any of the policies outlined in this agreement.

Registered candidates for the AFK, ACJ, Situational Judgement, and ADAT courses will receive printed booklets corresponding to their respective courses. Please allow 10-12 business days from the date of registration for delivery to Canadian addresses. Once the materials are processed and shipped, they are entrusted to the courier service for delivery. We are not responsible for any delays during transit, including but not limited to disruptions caused by shipping partner issues (e.g., strikes), weather conditions, or any other unforeseen circumstances beyond our control. Currently, delivery is available within Canada only; however, international shipping can be arranged upon request, at an additional cost to the student. Alternatively, students may choose to access course materials online. We will send up to two emails requesting confirmation of your contact and shipping details. If no response is received after two attempts, we will proceed with the shipping information initially provided. Once the materials are processed and shipped, no changes to the delivery address can be made. It is the student’s responsibility to ensure that all contact and shipping details are accurate, including PO Box information and the availability of a designated receiver (e.g., concierge or recipient) to accept the package. JADE is not responsible for any delays resulting from incorrect information or the unavailability of a receiver on the student’s end.

To ensure the security, fairness, and integrity of online exams, we require video and audio recording during the test. These recordings are necessary to monitor adherence to exam guidelines and prevent unauthorized actions. Your personal data, including the video and audio, will be kept private and used solely to maintain a fair and secure testing environment. Recordings will be stored securely and retained only for as long as needed to verify exam integrity, in compliance with data protection regulations.

J.A.D.E. – Jai’s Academy for Dental Education Inc. reserves the right to review and modify these durations as needed. Students agree to adhere to any updated, modified, or canceled policies and procedures.

3. NDECC Course Policies

NDECC course students understand that since the exam is held multiple times throughout the year, seat availability is not guaranteed at all times. It is the student’s responsibility to register for the course in a timely manner. 

NDECC Clinical course seats are limited, and deposits or fees are non-refundable under any circumstances, as the institution reserves the seat upon registration, preventing it from being offered to other interested students. This also means that the duration or weeks booked by the student cannot be postponed or canceled. If a student wishes to extend their course, they must register 4–6 weeks before their course end date and express interest via email to the team. J.A.D.E. – Jai’s Academy for Dental Education Inc. is not liable if a seat extension cannot be granted due to limited availability. 

Students agree that the course cannot be paused or transferred to the next cycle, as each day of the NDECC course is essential. Additionally, students understand that requests for work checks, demos, lab access, learning materials, and mock exam dates may not be accommodated. J.A.D.E. – Jai’s Academy for Dental Education Inc. is committed to providing full-day access and conducting demos during center working hours, subject to instructor and technical support availability. 

Under no circumstances will J.A.D.E. – Jai’s Academy for Dental Education Inc. offer refunds or reschedule for missed demonstrations, whether during or after the course has ended. If a demo is missed, it may be rescheduled, without guarantee that it will align with individual students’ course timelines, especially for short-term courses. 12-week courses will include all demos, whether live or pre-recorded.

Students are entitled to a maximum of two work checks per week, which may include regular and mock evaluations. Cancellations or absences will not result in the addition of missed work checks to subsequent weeks.

Students must adhere to the assigned seat allocation, which may change on a weekly or biweekly basis depending on management’s assessment. Mock exams, whether included in the course fees or purchased separately, will be scheduled closer to the exam date according to the preset calendar. Students who are not enrolled in the full course during the scheduled mock exam period will not be granted access to the mock exams, unless they have purchased them separately.

For the Situational Judgement Course, enrollment is valid for 2 consecutive cycles, without any pause. Since the exam is held multiple times a year, it is the student’s responsibility to notify the team via email once an exam date is booked, allowing for proper scheduling of mock exams. J.A.D.E. – Jai’s Academy for Dental Education Inc. offers over 20 mock exams annually, and students are encouraged to complete 3 to 4 mocks before their exam. This can only be achieved if students notify the team promptly and review the mock exam schedule available on the website. 

To support preparation, J.A.D.E. – Jai’s Academy for Dental Education Inc. is offering Magic Mini Mocks (MMMs) for the Situational Judgement Course. Participation is voluntary, and spots will be allocated on a first-come, first-served basis, with priority given to students who secure their spot early. If students are unable to attend some or all MMMs due to exam scheduling conflicts, J.A.D.E. – Jai’s Academy for Dental Education Inc. will not be responsible for any partial or full refunds or compensation. 

Students are encouraged to begin preparing for the MMMs well in advance of registering for the exam to allow ample time for completion. If students wish to change MMM batches, they must contact the admin team via email. Requests will be considered based on operational feasibility. However, requests made after missing MMMs will not be accommodated.

4. Copyrights

All course materials, online or offline sessions, whether live or pre-recorded, are solely for the personal use of the registered student. It is strictly prohibited to transmit, reproduce, sell, or distribute any course materials in any form or by any means, including but not limited to, screenshots, photocopying, recording, or other electronic or mechanical methods. The course content provided during the course schedule or after, including all materials such as printed booklets, quizzes, tests, mock exams, charts, tables, and more, is intended solely for the personal use of the registered student. The student may not use the materials for any other purposes, including reselling or reproducing them. Additionally, the student must not transfer the materials to any third party without the written consent of J.A.D.E. – Jai’s Academy for Dental Education Inc. management.

Management reserves the right to terminate the course without a refund if a student is found to be in violation of copyright policies.

5. Description of Services

In exchange for the payment of the Course Fee, the Student will be enrolled in the Course and will gain access to all offered sessions of the Course, as more particularly set out in the Course outline. The student acknowledges that the timing of sessions will be managed by the instructor, who will allocate time to groups and/or individuals at their discretion. The student understands that this Course content, including answers to questions, materials, and presentations provided by instructors, are based on the latest textbooks and references; however, it is the student’s own responsibility to ensure that these materials and answers are up-to-date and suit their specific needs. The student acknowledges that exam results cannot be guaranteed by J.A.D.E. – Jai’s Academy for Dental Education Inc. The student further acknowledges that this program is designed to enhance their knowledge and skills, but does not guarantee admission to a dental school.

6. Communication

All course-related communication will be sent via email, and it is the student’s responsibility to check their email regularly, including spam or junk folders. By enrolling in J.A.D.E. – Jai’s Academy for Dental Education Inc’s  services, you subscribe and agree to receive email communications, announcements, and updates related to the course, other relevant courses or services, and exam process communications. Email communication and updates may be sent prior to, during, and after the completion of the course. If you wish to not receive any non-course-related email, you can notify the office, and you will be removed from the mailing list.

By way of example, and not as a limitation, you agree that when using the Communication Services, you will not:

J.A.D.E. – Jai’s Academy for Dental Education Inc., within its sole discretion, always reserves the right to disclose any information it deems necessary and appropriate to satisfy any applicable law, regulation, legal process, or governmental request. It further reserves the right to edit, refuse to post, and to remove any information/materials, in whole or in part. to satisfy any applicable law, regulation, legal process, or governmental request. 7. Registration and Service Level Agreement

Course applicants may be subject to a review process and further interviews by the J.A.D.E. – Jai’s Academy for Dental Education Inc. team to determine their eligibility. This review and approval process will be completed within 3 weeks from the registration date. If the applicant does not receive any further communication from the administration within 3 weeks,  they are considered accepted and fully registered in the course.

While J.A.D.E. – Jai’s Academy for Dental Education Inc. will use all reasonable means to offer sessions/courses at the scheduled times and with the planned instructors, the institution reserves the right to adjust course timelines, instructors, and the number of sessions, or even  cancel sessions or courses at its discretion. 

In the event a service is overbooked, J.A.D.E. – Jai’s Academy for Dental Education Inc. will offer an alternate service or time, or provide a full refund. The student agrees that no additional compensation, other than a refund of the original fees, will be provided. If a course does not meet  the minimum required number of attendees, it may be canceled, and registered applicants will be notified accordingly. In such cases, any reduction in the number of sessions or course cancellations will result in a prorated reimbursement corresponding to the canceled courses or sessions. In the event of such cancellations, registered students will not be eligible for any additional compensation. Timing within sessions will be managed by the instructor and allocated to groups and/or individuals as the instructor deems appropriate, to maximize the  benefit for all students.

8. Privacy Notice

J.A.D.E. – Jai’s Academy for Dental Education Inc. collects and utilizes your personal information for the provision of products and services, as well as for managing the academy’s business operations. As a course registrant, the student acknowledges and consents to J.A.D.E. – Jai’s Academy for Dental Education Inc occasionally publishing, reproducing, digitalizing, displaying, and otherwise using (a) the student’s name, image, likeness, voice, and (b) all photographs, recordings, videotapes, and audiovisual materials of the student’s self in any manner, form, or format on the Internet, for advertising or promotional purposes without further consent from or compensation to students.

Registrants may withdraw consent to the use and disclosure of their personal information at any time in writing, subject to contractual and legal obligations. However, doing so may preclude entitlement to certain benefits, sessions, or services without compensation or reimbursement in any form.

9. Bodily Injury Release

Students agree that the student’s safety is primarily their own responsibility. Students agree to ensure they know how to safely operate all equipment, and students agree to observe any rules and practices that may be employed to minimize the risk of injury. Students agree to immediately stop and seek assistance if they feel unsure about safely using any equipment, and if they are unfamiliar with any function of the same . Students agree that they will refrain from any and all actions that could pose a hazard or risk to themselves or others. 

Students confirm they have read and participated in the classroom safety instructions, and understand how to safely use all equipment in the laboratory, classroom, and at home. By signing this release, students hereby agree to release, waive, discharge, and covenant not to sue, and agree to hold J.A.D.E. – Jai’s Academy for Dental Education Inc., its directors, officers, agents, volunteers, employees, and representatives (collectively referred to as the “Releasees”) from and against any and all liabilities, demands, claims, or injuries, including death, that may result from operating equipment on the premises of J.A.D.E. – Jai’s Academy for Dental Education Inc. or while using the equipment provided by J.A.D.E. – Jai’s Academy for Dental Education Inc. at home.

10. Property and Equipment Damage/Malfunction Agreement

Section A: Applicable to All Preparatory Courses

By entering into this Agreement, the student acknowledges and accepts responsibility for any property or materials they may damage, whether intentionally or unintentionally, while on the premises of J.A.D.E. – Jai’s Academy for Dental Education Inc. The student agrees to promptly inform J.A.D.E. – Jai’s Academy for Dental Education Inc. staff of any such damage caused, immediately upon becoming aware of it. Furthermore, the student understands that they will be responsible for reimbursing J.A.D.E. – Jai’s Academy for Dental Education Inc. for any damage, as determined by the staff.

Section B: Applicable to Those Enrolling in the NDECC Preparatory Course

By entering into this Agreement, the student acknowledges understanding of how to properly operate and maintain the equipment they are using at home, in the laboratory, and in the classroom, as outlined in the course manual and explained by the instructor. The student understands that equipment downtime for repairs or maintenance may occur during the course, and no make-up time or compensation will be provided for any missed time. J.A.D.E. – Jai’s Academy for Dental Education Inc. considers potential downtime when planning  courses and services, ensuring all course objectives will be met by the end of the course. In the event the lab experiences extended downtime, J.A.D.E. – Jai’s Academy for Dental Education Inc. reserves the right to provide portable equipment or temporarily relocate the course  to a portable setup until the main labs are operational again, with no liability or compensation required for the duration of the portable/temporary setup.

Students agree to take responsibility for any loss or damage to the equipment and to return it in the same condition it was received, except for the normal wear and tear. If a student is deemed responsible for any loss or damage of the equipment, they will be liable for the repair or replacement of the same. If the equipment is not returned in good condition, J.A.D.E. – Jai’s Academy for Dental Education Inc. may charge the student with a fee equal to the cost required to restore the equipment to its original condition.

11. Missing Classes or Parts of a Course

Missed classes will NOT be compensated for in any way, so it is important to adhere to the scheduled class times. If you are unable to attend due to a major circumstance, please arrange for a  colleague to provide you with notes, as J.A.D.E. – Jai’s Academy for Dental Education Inc. is not obligated, nor necessarily able, to repeat or replay lectures. However, it is recommended  to inform the administrative staff of missed lectures, in case there are preplanned make-up or repeat sessions available.

12. Proprietary and Intellectual Property Rights

As between J.A.D.E. – Jai’s Academy for Dental Education Inc. and you, J.A.D.E. – Jai’s Academy for Dental Education Inc. owns all rights, title, and interest in the services and program materials. You acknowledge and agree that the services and program materials are provided to you solely in accordance with the terms and conditions of this Agreement. Except for the limited rights granted in herein, all other rights are reserved by J.A.D.E. – Jai’s Academy for Dental Education Inc.

13. Identifications and Supporting Documents

J.A.D.E. – Jai’s Academy for Dental Education Inc. may, at any point prior or during a course, request for identifying documents to verify the identity of a student or the authenticity of registrations or Client Relations requests. Such documents may include government-issued IDs/documents and the NDEB profile and number. J.A.D.E. – Jai’s Academy for Dental Education Inc. will not share these documents with third parties without the student’s consent. Failure or refusal to provide the requested identification documents may result in expulsion without refund.

14. Denial of Future Registrations

The violation of any agreement entered with J.A.D.E. – Jai’s Academy for Dental Education Inc. at any point in time may be grounds for dismissal from its services and are grounds for being blacklisted from some or all future courses or services offered by J.A.D.E. – Jai’s Academy for Dental Education Inc.

15. Reservation Fee Policy

Reservation fees are collected when J.A.D.E. – Jai’s Academy for Dental Education Inc. does not intend to collect the full fee/tuition for a service upfront, easing the financial burden on students and providing them with more time to gather funds. Reservation fees will be associated with a corresponding full fee/tuition due date. Reservation fees are non-refundable, non-transferable, and non-creditable. Students are required to pay the full fee or enter into a binding payment plan agreement, by the full fee/tuition due date. Failure to do so will result in the forfeiture of the reservation fee (no refund). The reservation fee will be applied to the tuition/service fee on the due date. 

In the event of a withdrawal request before the start date of the course/service, the penalty will be the higher amount between the reservation fee or the standard withdrawal policy fee (see standard withdrawal policy). This is applicable both before and after the full fee due date.

16. Transfers/Credits from a Different Cycle/Course

Transfers between cycles or courses are not permitted. This may only be considered in rare extenuating circumstances, such as bereavement.. Approved transfers  will be evaluated on a case-to-case basis, and are subject to administrative penalties, limited to one approval per registration. Such transfers are subject to price increases and course/service modifications. Please be advised that students transferring from a different cycle/course or registering using a credit from a different cycle/course will not be eligible for a refund. Eligibility for a refund is forfeited once a transfer or credit is approved.

17. Standard Withdrawal Policy

A 40% deduction (or charge, in case of a payment plan) will apply if withdrawn 1-2 weeks (8-14 days) prior to the planned start date, as indicated at the time of registration. This is applicable only if we have received the email request and the student has not transferred the course prior to this cancellation request. There is no refund policy for courses with limited intake, such as the NDECC Clinical Course. Refunds are at the discretion of the management and will be considered on a case-to-case basis. 

No refund will be issued (or 100% will be charged in the case of a payment plan) if withdrawn 1 week or less (≤7 days) prior to the planned start date. Additionally, no refund will be issued (or 100% will be charged in the case of a payment plan) for small-sized services (≤10 clients), on-demand services, scheduled one-on-one sessions, any service in which the fee or service arrangement has been modified/customized, any service or course offered as an accommodation option for individuals or for the whole class, or for courses that have already commenced, regardless of the withdrawal request date. Additional processing, administrative (including books and class handouts), or transaction fees may be deducted from the refund amount as necessary.

18. Conflict of Interest

J.A.D.E. – Jai’s Academy for Dental Education Inc. upholds a strict policy regarding conflicts of interest. J.A.D.E. – Jai’s Academy for Dental Education Inc. reserves the right to deny service on the basis of conflict of interest, including direct or indirect affiliation  with entities deemed to be in conflict with J.A.D.E. – Jai’s Academy for Dental Education Inc.’s goals and objectives. Upon registration, candidates agree to not be directly or indirectly involved, working, or associated with competing entities, whether for-profit or not-for-profit. Indirect affiliation may include, for example, a spouse working for a competing entity. 

Candidates also agree to not engage with or affiliate, directly or indirectly, with activities or entities in competition with J.A.D.E. – Jai’s Academy for Dental Education Inc. for a period of up to two years following the conclusion of services. Any violation of this conflict-of-interest or non-competition clause will result in immediate denial or termination of services, with no refund.

Code of Conduct

All registrants at J.A.D.E. – Jai’s Academy for Dental Education Inc. agrees to adhere to the established Code of Conduct at all times. Any violation of the terms is considered an offense under the Code, subject to disciplinary action, including immediate termination from the course(s) with no refund. In cases where full payment has not yet been collected, registrants in violation will remain liable for outstanding fees. The code includes the following:

Once the registration form is submitted, you are legally bound and financially committed to the FULL FEES, regardless of attendance or payment status (students on payment plans will still be liable for any outstanding fees). We have a strict NO REFUND policy, outside the terms outlined above and no exceptions will be made.
